Responsibilities:
The HOA Compliance and Transitions Coordinator duties include, but are not limited to:
Compliance:
Perform scheduled community inspection drives and appropriately document compliance violations.
Create and disperse compliance letters within the required time frames.
Provide documentation of recorded issues to community manager.
Work with homeowners regarding various issues involving compliance, violations, and improvement requests.
Gain thorough understanding of each community association guidelines in collaboration with community manager.
Transitions:
Collect and organize all documents, records, and contracts relevant to the management of the HOA.
Review existing contracts, agreements, and financial records to ensure they are accurate and current.
Facilitate communication between the outgoing and incoming management companies, the HOA board, and homeowners to address any concerns or questions during the transition process.
Coordinate meetings and communications to keep all parties informed of transition progress.
Ensure seamless transfer of financial records, budgets, and accounts from the outgoing management company to the incoming one.
Obtain financial statements and budgets to ensure accuracy and compliance with HOA financial standards.
Review existing vendor contracts and service agreements to determine which should be continued, modified, or terminated under the incoming management company.
Ensure that the transition process complies with all relevant laws, regulations, and HOA governing documents.
Work with legal counsel to address any legal issues or disputes that may arise during the transition.
Coordinate property inspections and maintenance reviews to identify any issues that need to be addressed during the transition.
Oversee the transition of personnel responsibilities and resources.
Provide information and educational resources to homeowners about the transition process, changes, and expectations under the incoming management company.
Assist in resolving disputes or conflicts that may arise during the transition process, whether between homeowners, management companies, or vendors.
Qualifications:
Excellent communication, organizational, and writing skills.
HOA, real estate or related field experience preferred.
Knowledge of HOA governance, property management, and real estate laws.
Experience in project management and/or transition management is a plus.
Knowledge of financial management and budgeting is beneficial.
Strong problem-solving skills and ability to handle conflicts.
EDUCATION AND PROFESSIONAL
Experience:
Minimum of 2-3 years' experience in HOA, compliance/inspections, customer service and/or related field.
Experience with HOA software (such as Smartwebs, TOPS, etc.
) is strongly preferred.
Proficient in Word, Excel, and Outlook.
HS diploma or equivalent.
Valid driver's license and clean driving record.
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
This position combines the responsibilities of driving neighborhood communities, sometimes for hours at a time, and being in a professional office environment.
This role routinely uses standard office equipment such as computers, tablets, phones, and copiers.
The physical demands described here are representative of those that must be met to successfully perform the essential duties of the position.
While performing the duties, there are regular requirements to talk and hear to communicate effectively.
This position frequently requires standing, walking, and driving.
